Refund Policy

Refund Policy

Effective Date: 01 August 2026

HAK Consultancy Services aims to handle refunds fairly, consistently, and transparently. Because our services are customized and primarily digital, refund eligibility depends on when a cancellation is requested, how much work has been completed, whether deliverables have already been supplied or approved, and whether non-recoverable third-party costs have been incurred.

1. Services Covered

This Refund Policy applies to payments made for the following services provided by HAK Consultancy Services:

  • Book Publishing Services

  • Content Writing

  • Website Development

  • Logo Design

  • Social Media Management

  • Video Editing

  • Other related professional services expressly agreed with HAK Consultancy Services

Our standard services are digital or professional services. Therefore, there is no physical return or shipping process unless a separate written agreement specifically includes physical goods.

2. Refund Eligibility

Refund eligibility depends on the stage of your project.

Before Work Begins

A full refund is generally available if the cancellation request is made before work begins.

Any non-recoverable third-party costs already incurred with the client’s approval may be deducted from the refund.

Work Has Started

Once work has started, a partial refund may be available.

The refundable amount will be determined based on the unearned portion of the payment after considering:

  • Work already completed

  • Professional time and resources used

  • Drafts or materials already prepared

  • Approved third-party expenses

  • Other non-recoverable project costs

A change of mind after work has started does not normally qualify for a full refund.

Draft or Initial Deliverable Supplied

Where a draft or initial deliverable has already been provided, revisions are the primary remedy.

If a material issue within the agreed scope cannot be resolved after reasonable revision attempts, a partial refund may be considered depending on the circumstances and the usable value already delivered.

Final Deliverable Completed or Approved

Once a final deliverable has been:

  • Approved

  • Published

  • Launched

  • Deployed

  • Downloaded

  • Transferred

  • Handed over

  • Otherwise substantially used

the applicable service fee is generally non-refundable.

HAK Cannot Deliver the Agreed Service

If HAK Consultancy Services cannot provide the agreed service, a full or prorated refund may be provided for the undelivered portion after accounting for any separable work already completed and accepted.

Duplicate or Incorrect Payment

Verified duplicate payments or incorrect charges are eligible for a refund after transaction verification.

3. Cancellation Before Work Starts

If a client cancels a project before work begins, we will generally approve a full refund of the amount paid to HAK Consultancy Services.

If the client has already authorized us to purchase a non-refundable third-party product or service specifically for the project, that external cost may be deducted from the refund and documented to the client.

4. Cancellation After Work Has Started

Once work begins, professional time, resources, and personnel are committed to the project.

Any refund request will therefore be assessed according to:

  • The portion of work already completed

  • Drafts or deliverables already provided

  • Professional or specialist time used

  • Non-recoverable external costs

  • Any remaining unused prepaid balance

Where appropriate, the unearned portion of the payment may be refunded.

If the client decides to stop the project, HAK Consultancy Services will reasonably assess the completed work and determine whether any unused balance remains refundable.

5. Revisions Before Refunds

For concerns regarding the quality of a draft or deliverable, the client should clearly identify the issue and provide us with a reasonable opportunity to correct work that does not conform to the agreed project scope.

Revisions will be provided according to the revision allowance specified in the quotation or project agreement.

If a material issue relating to the agreed scope remains unresolved after reasonable revision attempts, HAK Consultancy Services may offer an appropriate partial or full refund depending on the severity of the issue and the usable value already delivered.

6. Non-Refundable Items and Circumstances

Unless otherwise required by applicable law or expressly agreed in writing, the following are generally non-refundable:

  • Work already completed, accepted, approved, published, launched, deployed, downloaded, transferred, or substantially used.

  • Third-party charges that cannot be recovered, including domains, hosting, software, plugins, stock assets, fonts, advertising, publishing, distribution, platform, marketplace, or other external fees purchased with client authorization.

  • Additional work resulting from changes in project scope, new requirements, or client-requested changes outside the original brief.

  • Delays primarily caused by missing client materials, delayed approvals, unavailable client accounts, or failure to provide required access.

  • Dissatisfaction based solely on subjective preference where the completed work materially follows the approved brief and the agreed revision process remains available.

  • Commercial outcomes outside our control, including publishing approval, rankings, sales, audience growth, engagement, leads, platform algorithms, or third-party platform decisions unless a specific result was expressly guaranteed in writing.

7. Service-Specific Refund Conditions
Book Publishing Services

Fees for work already completed — including formatting, design, editing-related production work, metadata preparation, or submission assistance — are not automatically refundable because a third-party publishing platform rejects, delays, removes, or changes a listing.

If the rejection results from a correctable error within our agreed scope, we will first make reasonable efforts to correct the issue.

Website Development

Completed development milestones and approved third-party purchases are generally non-refundable.

If a website project is cancelled during development, we will assess the work already completed and determine whether any unused prepaid balance remains refundable.

Domains, hosting, licenses, plugins, and similar third-party expenses remain subject to the refund policies of their respective providers.

Social Media Management

For monthly or ongoing services, fees relating to a service period that has already been substantially performed are generally non-refundable.

Clients may request cancellation of future, unperformed service periods in accordance with the applicable agreement.

Advertising spend and platform charges already incurred are not refundable by HAK Consultancy Services unless the relevant platform returns those funds to us.

Design, Writing & Video Services

Once a final customized deliverable has been approved or supplied for use, the applicable production fee is generally non-refundable.

Before final approval, reasonable revisions will be handled according to the agreed project scope and revision allowance.

8. Duplicate, Incorrect or Unauthorized Transactions

If you believe you have:

  • Been charged twice

  • Been charged an incorrect amount

  • Not authorized a transaction

please contact us promptly.

Provide the transaction date, amount, payment reference, and any relevant supporting information.

We will review our payment records and, where necessary, coordinate with the relevant payment provider. Verified duplicate or incorrect charges will be refunded.

For suspected unauthorized card or account use, you should also contact your bank or payment provider promptly so they can protect your account and follow their security procedures.

9. How to Request a Refund

To request a refund, contact us through our official email address and provide:

  • Your full name

  • Business name, if applicable

  • Invoice, order, project, or transaction reference

  • Payment date

  • Payment amount and currency

  • Clear explanation of the reason for the refund request

  • Relevant screenshots, files, or correspondence where helpful

For service-quality concerns, refund requests should normally be submitted within 7 calendar days of the relevant delivery or event.

This does not limit mandatory legal rights or payment-provider timelines applicable to verified unauthorized transactions or other legally protected claims.

10. Refund Review & Decision

We aim to acknowledge a complete refund request within 2 business days.

Where reasonably possible, we aim to provide a decision or request additional information within 5 business days.

Complex projects, third-party platform investigations, or payment-provider verification may require additional time. Where a review is delayed, we will keep the client reasonably informed.

11. Refund Method & Processing Time

Approved refunds will normally be returned to the original payment method and in the original transaction currency, where supported by the payment provider.

We aim to submit an approved refund within 7 business days after the refund decision.

Your bank, card issuer, wallet provider, or payment processor may require additional processing time before the funds appear in your account.

Foreign exchange differences, intermediary bank fees, card issuer charges, or other external financial fees are controlled by the relevant financial institutions and may not be recoverable from HAK Consultancy Services.

12. Chargebacks & Payment Disputes

We encourage clients to contact HAK Consultancy Services before initiating a chargeback so that we have an opportunity to investigate and resolve the issue.

We may maintain transaction records, communications, approvals, project records, and evidence of service delivery. Relevant records may be provided to banks or payment providers when responding to a payment dispute.

Contacting us first does not remove any rights available to the client through their bank, payment provider, or applicable law.

13. Refunds When We Cancel or Cannot Deliver

If HAK Consultancy Services cancels a project for reasons not caused by the client and cannot provide the agreed service, we will refund the amount attributable to the undelivered portion.

If no meaningful work has been delivered and no authorized non-recoverable third-party costs have been incurred, a full refund will generally be provided.

14. Changes to This Refund Policy

We may update this Refund Policy to reflect changes in our services, payment processes, business practices, or applicable requirements.

The version in effect on the date of the relevant order will generally apply to that order unless a later change is required by law or is more favorable to the client.
